Position Summary:
The Administrative Assistant is responsible for providing support to the CEO/President and other executives at Green Mountain Energy Company.
Duties:
- Manage administrative budget and track expenses
- Complete expense reports for CEO and other executives
- Reconcile corporate credit card account/American Express cards for CEO and other executives
- Coordinate quarterly board meetings
- Compile board materials and deliver pre-read to board members prior to board meeting
- Coordinate travel, accommodations, and agendas with individual board members and their staff
- Organize meeting logistics such as conference calls, equipment set-up, food, and meeting locations
- Assist environmental department
- Maintain corporate environmental records
- Coordinate corporate environmental events
- Organize annual environmental donation campaign
- Participate on corporate environmental ambassador committee
- Coordinate company events (holiday luncheons, employee contests, etc.)
- Schedule CEO luncheons and breakfast meetings with employees
- Maintain contract database and monitor for contract expiration dates
- Maintain corporate files
- Monitor daily news items related to the company and send out to employees
- Coordinate travel for CEO, board members, executives and for special events
- Manage the calendars and appointment scheduling for CEO and executive team
- Assist other departments as needed with special projects/reports
Experiences, Skills & Education Needed:
- Previous experience supporting executives in a fast-paced office environment
- Excellent computer skills, including an outstanding working knowledge of Word, PowerPoint, Excel and Outlook
- Exceptional oral and written communication skills
- Ability to identify and resolve problems in a timely manner by gathering and analyzing information and maintaining confidentiality
- Self-directed and resourceful with the ability to handle multiple, simultaneous tasks with exhibited follow-through and initiative
- Adaptable to change in the work environment and able to deal with frequent change, delays or unexpected events
- Ability to interface well with all departments within the company and to represent the respective executive officer in a highly professional manner
- Maintains composure and interacts professionally with internal and external contacts including executives and board members
- Demonstrates Green Mountain Energy Company core traits of accountability, innovation, partnership, commitment and tenacity
- Ability to work flexible, extended hours as needed
